Mission Teams
Hi there! Welcome!
We are so excited you’re making a trip to the beautiful Texas Hill Country! As a church, we’re deeply grateful that you’re willing to give up a portion of your week or weekend to serve—not just Heirloom Church, but also the broader city of Kyle. Your presence and partnership are a powerful picture of what happens when the Church comes together as one to fulfill the Great Commission.
At Heirloom, we believe that God’s mission is bigger than any one church. The gospel compels us to move beyond our walls, linking arms with others to reach people who are far from Him and to demonstrate His love in tangible ways. When churches partner together, we become a stronger witness of unity and generosity—two things our world desperately needs.
As for why we planted in Kyle, it’s simple: we love this city. Kyle is one of the fastest-growing cities in Texas, filled with young families, newcomers, and people who are searching for hope and belonging. We sensed God leading us here because we believe the gospel is the answer they’re longing for—and we’re committed to being a church that shows up, invests deeply, and builds relationships that last.
With that in mind, here’s everything you need to know to plan a successful and life-changing mission trip with us. Let’s get to work—together!

Step 1 - Schedule Meeting with Pastor Dakota
Set up a meeting with Pastor Dakota to explore and finalize the best dates for your mission trip. This is an essential step in ensuring we can accommodate your team well—especially as Heirloom Church continues to grow and launch new initiatives. Your coordination and partnership help us create a seamless, meaningful experience for visiting teams during this exciting phase of our journey.
Please schedule your meeting with Dakota by emailing Nina at Nina@heirloomchurch.org to discuss the best times to connect.

For Dakota and our staff, it’s another full week of church planting, disciple-making, and engaging with the community. Thank you for coming alongside us!

Step 3 - Build Your Schedule
Please keep in mind Heirloom Church's needs change on a monthly/weekly basis. We may have a large amount of work for your team to do, or we may only have enough work for half days the week of your trip. As you think about your team's schedule, please remain flexible and willing to adjust to the needs of our church. Please contact Dakota a few weeks before your trip to get an idea of the amount of work we have for your team. You can then schedule outside mission projects with other Austin organizations, depending on availability.
Heirloom Church Projects:
1 | Kindness Outreach
One of the biggest needs of our church plant is to become known in our community. We have several creative strategies to engage our city—such as handing out free water bottles with our logo, giving gift cards and treats to first responders and local businesses, distributing door hangers, hosting coffee or food kindness hours, running a red-light drink giveaway, setting up a giveaway booth in a city park, or offering a $1 car wash. These acts of kindness open doors for deeper conversations and show our neighbors the love of Christ in practical ways.
Please be ready and willing to join in these efforts to help us make meaningful connections! If your team would like to canvas neighborhoods with us, let us know in advance so we can prepare properly and provide you with materials and training.
2 | Local Connections
We believe the gospel travels best through relationships. Please make a list of anyone you know who lives in the Austin area. Reach out to them while you’re in town, and if they’re not already connected to a local church, invite them to learn more about Heirloom Church. Personal connections and referrals are some of the most effective ways to build our congregation and share God’s love with the people of our city.
3 | Special Ministry Projects
These projects encompass a wide variety of needs at Heirloom, depending on the season. They may include hosting a Vacation Bible School, sports camps, block parties, holiday outreaches, city-wide events, child care support, and care bag distribution for the homeless. In addition, the South Austin area is home to many local ministries and organizations dedicated to serving those in need—such as the homeless, vulnerable children, or the terminally ill. We’re happy to provide you with a list of these organizations, so you can fill your ministry schedule with good work that aligns with our heart to love and serve our city well.

Backup Plan Ideas
As a new church plant, we’re just beginning to onboard mission teams for our missional efforts. While we’re excited about the opportunities ahead, we also recognize that some projects may fall through due to weather, overbooking, or other unforeseen events. This section is critical for your planning and can be especially effective when the Spirit is leading in unexpected ways. Listed below are several simple yet impactful ways to show the love of Christ in our community. These ideas are intentionally broad and adaptable, giving you flexibility to serve wherever the Spirit opens doors. When participating in these activities, we ask that you wear your Heirloom Church T-shirts—representing both the God we serve and the church you’re helping to grow. If you’d like more information about these projects or suggestions on where to implement them, we’d be glad to provide additional guidance.
Please note: Heirloom Church is unable to fund these efforts, but your willingness to lead and resource them is deeply appreciated.
Here are some backup ideas:
Serve by Giving
We ask that by serving with Heirloom Church to bring some type of monetary donation to give to the church. The suggested amount is $500. However, we gladly accept any amount you can give.

Step 4: Plan Texas Activities & Meals
1 | Free Day
It’s important to remember that while your group’s primary focus in Kyle is serving the city, taking some time to explore and rest is not only okay—it’s valuable. Many people on your team may be visiting the area for the first time, and experiencing a bit of the local culture and landscape can help everyone better understand the city and the people who live here. Don’t feel guilty for weaving in a little free time—it’s a great way to build team camaraderie and gain a deeper appreciation for the context of your mission work.
2 | Food
Meals can sometimes be tricky to coordinate, especially with a busy mission schedule and lodging that may not include a kitchen. To make things easier, we recommend a flexible and budget-friendly approach:

Meals can sometimes be tricky to coordinate, especially with a busy mission schedule and lodging that may not include a kitchen. To make things easier, we recommend a flexible and budget-friendly approach:
- Breakfast: A simple continental-style breakfast (like a cereal bar, fruit, and coffee) that your team can prepare themselves.
- Lunch: Pack a sack lunch to take on the go—this helps maximize your mission time and minimizes expenses.
- Dinner: We suggest budgeting $10–$15 per person for dinners each night (Sunday–Thursday on a typical trip). Participants who want to spend more can supplement with their own money. We’ve seen creative team members eat for closer to $5 and pocket the savings!

Step 5: Prepare Your Team
Every mission trip is different, and each team brings various expertise and resources to our community. In your opening discussions with Pastor Dakota, it is important to lay out what your group specializes in and if you have certain resources that could be beneficial to Heirloom Church and to your overall mission team experience. However, there are certain things that Heirloom Church requests of each group coming to serve the city.
1 | Bring Gift Bags
Throughout the week, your group will have countless opportunities to meet people in the city, but some of those moments will stand out. To help extend the love of Christ in a tangible way, we’re asking each participant to bring three $5 gift cards to Chick-fil-A or Starbucks. We’ll provide sleeves with the Heirloom Church logo and website. When you have a meaningful encounter or conversation, use these cards as a way to bless that person and to make a natural handoff to Heirloom Church, so we can continue to nurture those connections. The kingdom of God is always moving at the speed of relationships.
2 | Memorize Scripture & Gospel Tracts
We believe in the power of God’s Word—especially when we’re stepping out in faith to build something new. This year, we’re anchoring our efforts in two key verses: John 13:35 and Psalm 127:1. Please encourage your group to memorize these passages in the weeks leading up to the trip. Let them shape your prayers, your conversations, and your understanding of what it means to serve as the body of Christ. If I were to provide you with recommendations: 3 Circle or The Story Booklet
3 | Bring an Extra Bible
Ask each participant to bring an extra Bible to give away during your time in Kyle. It’s amazing how often a spiritual conversation will arise that points to the perfect gift: a copy of God’s Word. Whether it’s someone who comes to faith or someone searching for hope, a Bible can be a seed planted that will bear fruit long after you’re gone. We’ve seen it happen, and we believe God will do it again.
4 | Make a List of South Austin Connections
As mentioned earlier, we ask that each group member come prepared with a list of any friends, family members, or contacts they may have in Austin. Many people here have moved from other places, and a personal invitation can be the bridge that brings them into community and faith. We’d love for you to meet up with these connections while you’re in town and, if they’re not already part of a local church, introduce them to Heirloom.
5 | Connect with Someone
Challenge each team member to connect intentionally with at least one regular attendee of Heirloom Church during the week. This is more than just small talk—it’s about building real, kingdom-minded relationships. It takes time, energy, and a heart of genuine care. At the end of the week, we ask that you pass along the name and contact info of that person to the Heirloom Team so we can continue the work God has started through you.

Step 6: Rules for the week
1 | Pray, Pray, Pray
“Rejoice always, pray without ceasing, give thanks in all circumstances” (1 Thessalonians 5:16–18).
Prayer is not merely a routine—it is our declaration of dependence on God. John Tyson says, “Prayer is the difference between the best we can do and the best God can do.” Whether you’re sharing a meal, beginning a project, wrapping up a set of door hangers, or parting ways with someone experiencing homelessness—cover it all in prayer. Let prayer be the foundation of every step, every word, every act of love.
2 | Be Flexible
“The wind blows where it wishes… so it is with everyone born of the Spirit” (John 3:8).
No mission trip in the history of the world has ever gone exactly as planned. The Holy Spirit is alive and active, reshaping our best-laid plans to fit the contours of God’s kingdom. While we’ve prepared an organized and thoughtful framework, we hold it all with open hands—trusting that the Spirit’s way is always better. As John Tyson puts it, “The Spirit never leads us into comfort, but always into the wild, untamed edges of grace.” Be ready for the Spirit’s interruptions.
3 | Do No Harm
“Let all that you do be done in love” (1 Corinthians 16:14).
Remember that you’re stepping into a story God has been writing long before you arrived—and will continue long after you leave. Our team is here for the long haul, building trust and living out the gospel day after day. While you’re with us, honor that legacy by leaving things better than you found them—whether it’s a conversation, a project site, or a soul inching closer to Jesus. Aim not to “fix” people, but to faithfully help them take one step further up the Engel Scale (a tool we use to track spiritual openness and progress).

Closing Thoughts
As you prepare to join us here in Kyle, remember: your trip isn’t just about a project or a list of tasks—it’s about sharing the gospel and building relationships that honor Jesus and point people to Him. We’re so grateful for your willingness to step into this moment with us. Thank you for your prayers, your flexibility, and your heart to serve.
Our prayer is that your time in Kyle would be marked by deep joy, meaningful connections, and a fresh sense of God’s faithfulness—both in your life and in the lives of those you meet. The Church is God’s plan A, and there is no plan B. Your work with Heirloom Church is part of that plan, and we’re honored to have you partner with us in what God is doing here.
We can’t wait to welcome you to the Hill Country and to see how the Lord will use your team. Let’s trust Him together—and let’s watch Him move.
